We service clients in a myriad of different industries, such as private companies, associations, condo buildings and HOAs, NPOs, charities, and more.
We are looking for a highly organized individual to coordinate, oversee, and be accountable for daily deliverables and scheduling on a full-time basis. This position will have a direct impact on Minutes Solutions’ growth and our vision to be the global leader of professional minute-taking using the most efficient, effective, and innovative means to deliver accurate and unbiased minutes.
Position: Administrative Assistant
Salary: $40,000/year
Reports to: Operations Manager
Position Summary:
Reporting to the Operations Manager, the Administrative Assistant will oversee daily deliverables and scheduling for minute takers. They will also coordinate team assignments and maintain a system for tracking and organizing deliverables and workflow. The Administrative Assistant will also foster professional and supportive relationships with minute takers and editors.
As our new Administrative Assistant, you will:
- Coordinate and oversee daily deliverables and review materials for discrepancies
- Provide scheduling support, including assignment changes, cancellations, and rescheduling arrangements
- Follow up on and retrieve missing and outstanding items from minute takers and editors, approve extension requests, and resolve any issues that may arise
- Respond to internal requests and questions in a timely manner, including but not limited to requests for information or materials
- Provide regular updates on deadlines and workflow issues to the operations and editorial teams
- Perform other administrative tasks as needed
Qualifications:
- 2-3 years of experience in a similar position
- Experience coordinating a large team required
- Friendly, customer-oriented team player with excellent written and oral communication skills and exceptional attention to detail
- Proficient with Microsoft Word, Excel, OneDrive, and Outlook
- Proven organization skills and sense of urgency required
- Quick learner with the ability to follow protocols and guidelines
- Laptop and good internet connection required
- Previous experience working from home required
